Task Settings let you configure workflow statuses, types, priorities, and defaults used across every task in HiveCRM.
How to Open Task Settings #
Go to Hive CRM → Settings → Task Management. The screen has four tabs: General & Policy, Workflow Statuses, Task Types & Kinds, and Priority Matrices.
Workflow Statuses #
Statuses are the lifecycle stages a task moves through (for example To Do, In Progress, Done). Add one by entering a name and clicking Add Status; edit or delete existing ones from the list.
Task Types & Kinds #
Types let you categorize tasks (for example Follow-up, Design, Development, Review). Managed the same way as statuses.
Priority Matrices #
Priorities are color-coded urgency badges (for example Low, Medium, High, Urgent). Managed the same way as statuses, with an assignable badge color.
Task Defaults & Operational Policy #
On the General & Policy tab, configure the baseline defaults applied to newly created tasks across Leads, Deals, Projects, and Tickets:
- Default Status, Default Priority, Default Type — pre-filled when creating a task without explicit values.
- Default Due Days — how many days from creation a task is due by default.
- Task Identifier Prefix — the prefix used for each task’s unique tracking code (for example
TSK-1042). - Send Creation Notification — email stakeholders when a task is created (uses the
email_task_add_notiftemplate). - Alert Team Staff on Assignment — notify staff when a task is assigned or reassigned (uses
email_task_assign_notif). - Notify on Status Change — notify stakeholders when a task moves through workflow stages (uses
email_task_status_change_notif).
Click Save to apply your changes. Email content for each notification can be customized under Email & SMTP Settings.
